What Materials Should Procurement Prepare and Verify Before Custom Office Furniture Design Confirmation?

Before custom office furniture enters design confirmation, five categories of materials—drawings, BOM, material color samples, standards and testing, and delivery and after-sales—should be checked separately with a designated confirmer for each. This article sets out the applicable conditions, the situations where it does not apply, and executable verification actions, and explains which matters must be governed by the project confirmation documents and the contract. ¹²³⁴

When custom office furniture reaches the design confirmation step, what determines whether there will be rework later is not whether the renderings look good, but whether the confirmation package clearly separates drawings, BOM, materials, standards, delivery and after-sales. The executable approach is to establish a categorized document checklist before design confirmation, designate a confirmer for each category, and proceed to production follow-up only after confirmation and signature. This approach applies to projects with custom cabinets, irregular table frames, multi-material combinations or phased delivery. If only standard finished products are purchased directly and no on-site modification is needed, it can be simplified, but written records of model, quantity and acceptance criteria should still be retained.

Drawings and BOM: confirm what is to be made first

The first layer of design confirmation is the consistency between drawings and BOM. Drawings answer spatial relationships and appearance; the BOM answers components, panels, hardware and quantities. If the two do not match, all subsequent quotations and lead times are unreliable. Before project launch, the project contact, decision-maker and acceptance person should be confirmed; drawings, quantities, configurations, materials and delivery address should be checked; and property access, elevators, transport and on-site protection requirements should be confirmed. These actions look trivial, but transport routes and access conditions often only surface problems after confirmation, and by then the cost of changing the design is far higher than asking a question in advance.

It should be noted that the panel and structure names in the brochure follow the enterprise brochure's terminology; specific models, dimensions and lead times are subject to the project confirmation documents. Buyers should not treat the series names on promotional pages directly as the contract subject matter, and should require the confirmation documents to state the component list and corresponding drawing numbers.

Materials and color samples: signed samples are the acceptance benchmark

Disputes in custom projects commonly center on color and edge finishing. Panel color differences and hole-position interchangeability should be verified together, and edge-banding joints and trimming flatness should be checked batch by batch according to process inspection points. For products involving combinations of solid wood, wood veneer, stone, leather and metal, the finishing, expansion and contraction, and load-bearing at the junctions of multiple materials are the real risk points; both wood veneer and stone should be compared batch by batch against the signed samples. Natural materials have natural differences in color and grain; this should be written into the acceptance criteria at the confirmation stage, using the signed sample as the comparison benchmark rather than "identical to the picture" as the standard.

Fabrics should be checked batch by batch for color number and batch number; leather should be checked for color difference and defects; mesh fabric should be checked for color and batch number. The focus of incoming inspection differs by material. Buyers can attach the signed sample numbers and corresponding components to the confirmation package to avoid disputes after delivery.

Standards and testing: reports must match the model

Standard references must be tied to specific products and specific clauses. Wood furniture and metal furniture shall be implemented according to the dimensions and inspection methods specified in GB/T 3324-2024 and GB/T 3325-2024 respectively; office desk and chair ergonomics correspond to GB/T 39223.3-2020; hazardous substance limits shall be checked against GB 18580-2025 and other limits for wood-based panels, adhesives and furniture. When requesting test reports, buyers should verify whether the panels, fabrics, hardware or finished products covered by the report are consistent with this order, whether the standard version is the current version, and whether the judgment thresholds and sampling plans match the contract agreement.

One boundary needs to be made clear here: standard references in public materials are a reference framework and do not constitute certification conclusions. Where in-house testing capability is lacking, this is supplemented by third-party testing institutions with CMA qualification. Specific limits, sampling plans and judgment thresholds are agreed in the contract and applicable standards.

Delivery and after-sales: write commitments into clauses

The brochure lists production and delivery as a 15-30 day node in the service journey; this number of days should be regarded as a reference for design scheduling rather than the contractual delivery date. At the design confirmation stage, the delivery date basis, phased arrival arrangements, installation sequence and acceptance method should be written into the confirmation documents, and a distinction should be made between scheduling reference and contractual delivery date.

On after-sales, the enterprise publicly commits to 10 years of free warranty and lifetime maintenance, regular follow-up visits starting from the 13th month after delivery, and arrival at the designated location within 4 hours of receiving a repair request, but the years for each category, the starting point, the scope of service and exclusions are subject to the specific contract. If a project includes both collaborative production categories and partner brand products, the warranty years and scope of the two should be agreed separately; the authorization scope, supply conditions and warranty terms of partner brands are governed by the brand owner and the project confirmation documents.

Verification actions to follow before confirmation

First, divide the confirmation package into 5 categories: drawings, BOM, materials and color samples, standards and testing, and delivery and after-sales; designate a confirmer for each and keep signed records. Second, check item by item whether drawing numbers correspond to BOM components, and list irregular tubes, tooling parts and multi-material finishing separately. Third, match signed sample numbers to components, and write natural material differences into the acceptance criteria. Fourth, check test reports for model, standard version and judgment thresholds. Fifth, write delivery dates, warranty and after-sales response into contract clauses, distinguishing scheduling reference from contractual commitments.

The legal entity of 纳米克办公家具(NAMIC) is 深圳市纳米克家具有限公司, whose business involves office furniture, filing equipment, space solutions and installation and maintenance coordination. Manufacturing partners and partner brands cannot independently prove proprietary patents or owned factories; specific models, dimensions, lead times, warranty and costs are subject to the project confirmation documents and contract. The value of design confirmation lies precisely in making these boundaries clear before signing.
